For exhibitors and stand developers

The operator of the VI International Specialized Exhibition for the Preservation, Restoration, Use, Popularization of Cultural Heritage, Redevelopment and Museum Technologies "denkmal, Russia - Moscow" attaches great importance to the safety of the exhibition, which we organize in the face of continuing the risk of the spread of a new coronavirus infection (COVID-19). In this regard, we have prepared rules for the participant of exhibition events in the conditions of new safety standards.

CONSTRUCTION AND DESIGN OF THE STAND

  • It is important to design an exhibition stand, taking into account all measures for health protection and social distancing. For example, maintaining the minimum required number of personnel on the stand, optimizing the product range demonstration area, etc.
  • It is necessary to provide for hand treatment sites with skin antiseptics during the construction of the stand, including with the help of installed dispensers or wet wipes.
  • We ask you to design the stand in such a way that the minimum number of employees is involved in the construction of the stand.
  • To minimize physical contact, stand materials can be brought to the site in parts, not at a time, and hand tools should not be transferred to each other by workers.
  • We ask you to equip a plexiglass screen information desk to protect your staff, who will be the first to welcome visitors to your stand. In addition, these people can wear protective shields, as they will work closely with a large number of people.
  • You can consider using physical separators in areas where you plan to hold personal meetings with customers or team.
  • Instead of demonstrating products from the entire range, you can virtually demonstrate part of your assortment using screens on the walls of the stand.
  • The project should provide for routing of stand visitors and placement of tables, stands, tables on stands, taking into account the observance of a distance (at least 1.5 meters), as well as separate entrances and exits to the stand with the installation of appropriate signs and restrictive tapes.
  • Calculation of the number of participants, visitors and other categories of persons simultaneously at the stand, their placement/squatling is carried out taking into account the norms of distance (at least 1.5 meters).
  • It is necessary to provide at the stand (at the entrances/exit and other places of possible accumulation of visitors) places of hand treatment with skin antiseptics, including with the help of installed dispensers or wet wipes.

TO THE EXHIBITION

  • You need to have personal protective equipment for respiratory organs (masks, respirators) and hands (gloves) when visiting the exhibition, as entry into the exhibition without a mask and gloves will be prohibited.
  • You must have a stock of skin antiseptics for hand treatment and respiratory personal protective equipment (masks, respirators) and gloves for yourself and your employees, as they must be changed based on the duration of the working shift (at least once every 3 hours). In case of shortage of personal protective equipment, their damage or loss, it will be possible for participants, visitors of the event to purchase individual respiratory protection equipment (masks, respirators), gloves in front of the entrances to the exhibition area.
  • In order to speed up the procedure for entering the exhibition, you can provide your visitors/clients with a link for pre-registration (before their arrival at the exhibition).

MEETING OF VISITORS AT THE STAND

  • It is recommended to design the stand so that you can control the number of visitors and staff. You can determine the maximum number of people (employees and visitors) that you could safely place on your stand, given its size. If necessary, specify the ways of entry and exit of visitors at your stand.
TIP: You can use various designations, floor markings and tapes to control social distancing.
  • You can review the choice of your exhibits to be placed on the stand according to the size of the stand and/or physical conditions. For example, smart branding on the walls of the stand facing the passages of visitors will attract the right visitors to your stand and reduce the excessive crowding of people.
  • Perhaps you should make sure that the areas at your stand where visitors are met have been designed in accordance with the rules of social distancing.
  • It is recommended to create a pre-scheduled system of meetings with your customers, if applicable.
TIP: You can indicate in your invitations what security measures you are going to take at the exhibition area and send them to your customers before the exhibition starts. This can help them feel more comfortable when visiting your stand and exhibition.

STAND HYGENE

  • Participants are responsible for compliance with sanitary and hygienic standards at their stands. Therefore, the first thing you can do is install hand sanitizers on your stands, which can be easily used by your employees and guests.
  • You may need to make sure that your employees and guests at your stand use them correctly.
  • Organize disinfection with a multiplicity of processing every 2 hours of all contact surfaces on the stand: door handles, handrails of stairs, railings, table surfaces, showcases, racks, office equipment, armrests of chairs, etc.
  • Before the start of each exhibition day, it is necessary to carry out wet treatment of staff and common areas on the stand using veilicidal disinfectants authorized for use in accordance with the established procedure.
  • In the closed rooms of the stand, it is recommended to use air disinfection equipment allowed for use in the presence of people.
  • We recommend that you set intervals between presentation sessions at your stand for at least 15 minutes for ventilation and disinfection of contact surfaces.
  • Organize at the stand the collection of used masks (respirators) and gloves of your staff and visitors to the event in plastic bags with subsequent disposal as solid waste.
  • Organize informing your staff and guests of your stand by pre-sently sending emails, posting text and audiovisual information on your company's websites, at the entrance to the stand, including using digital posters, about the need to comply with measures to prevent the spread of coronavirus.

WEARING MASKS, GLOVES, FACE FLAPS

  • You can provide free masks and gloves at your stand at the request of any person, including visitors.
  • You should make sure that these protective equipment meets the required standards and are kept in hygienic conditions.
  • You should encourage your employees to use face shields, but also pay attention to the rules of their operation:
- Hands should be washed and treated with antiseptic before putting on and removing the protective shield.
- Face shields must be changed every day and disinfected before use.
- If they can be washed, the protective shields must be washed in accordance with the manufacturer's instructions. If they are not washed, they must be disposed of.
- One face shield should be used by only one person.

PRODUCT DEMONSTRATION AND REFRESHMENTS AT THE STAND

  • Since product demonstration creates a risk of creating a large crowd of people, it is recommended to limit the demonstration of your products and do it only for important goods in compliance with the rules of social distancing.
  • If you offer refreshments for visitors, please use prepackaged and disposable devices that meet hygienic standards.
  • Avoid treats in snack bowls that are available for general use.
  • All drinks must be provided in individual packaging.

SOUVENIRS AND PRINTED MATERIALS

  • To prevent the spread of the virus, it is recommended to use fewer printed materials at the exhibition. It is advisable to bring materials prepared and packaged in advance.
  • You can choose digital or virtual ways to inform visitors instead of printed brochures and catalogs.
  • We ask you to distribute souvenirs to visitors only in individual packaging.

Staff

  • Compliance with social distancing rules is the most important measure to control the spread of COVID-19. Ensure social distancing of employees (at least 1.5 meters) both during installation/dismantling (for technical personnel - taking into account the safety requirements of work) and during the event.
  • Consider using any safe areas outside the exhibition for breaks.
  • For your own employees, consider ordering pre-packaged dishes/snacks to avoid having to go to food outlets. Prohibit eating in the workplace. Meals should be carried out in a specially designated staff room according to a predetermined schedule, taking into account the observance of a distance of at least 1.5 meters.
  • Make sure you have instructed the team, including your contractors, on all the measures taken by the Organizer before you arrive at the exhibition.
  • Instruct the team about all the measures you decide to take before they go to the site. Share your plans on ways to reduce risks in advance to make them feel comfortable.
  • Your staff should also be instructed to comply with safety measures to prevent the spread of a new coronavirus infection, including the use of disinfectants.
  • It is necessary to appoint one responsible employee for compliance with control measures, including the use of respiratory personal protective equipment (masks, respirators) and hands (gloves) during the exhibition event.
  • If your employees live in a hotel, you may need to make sure that they are familiar with and comply with the security measures and policies in force at the hotel.
  • Every day, before admission to the venue of the event, the body temperature of employees involved in the preparation and conduct of the event is monitored, with mandatory removal from the workplace of persons with fever and/or signs of infectious disease.
  • Remember: your responsibility and organization is the key to your health and the health of others, and also neutralizes the risk of prosecution for violation of sanitary and epidemiological rules provided for by the current legislation of the Russian Federation.
